Our client, a reputable organisation in the GTFD industry, is seeking an experienced Executive Assistant (EA) to join their team. As an EA, you will play a critical role in supporting senior executives with a wide range of administrative and operational tasks. This position is a fixed-term contract with the possibility of extension.

Responsibilities:

  • Arrange business trips, including flight and hotel bookings, and assist with visa preparation as required.
  • Process expenses and invoices, ensuring accurate and timely payments for business trips, gifts, entertainment, general expenses, and suppliers. You will also be responsible for onboarding new suppliers, including managing due diligence and KYC processes.
  • Perform secretary duties, such as applying for business cards, managing management diaries, setting up meetings, and assisting with the onboarding process for new employees by deploying necessary systems and equipment.

Preferred Qualities:

  • Ability to complete assigned tasks promptly and accurately.
  • Proactive task reporting and effective communication of task status on a regular basis.
  • Dedication to staying updated on the necessary knowledge and understanding of relevant policies, procedures, and manuals.
  • Ability to work onsite daily and collaborate effectively with colleagues, including prompt email responses.
  • Proficiency in travel booking, expense processing, and supplier onboarding systems.
  • Strong attention to detail and the ability to multitask effectively.
  • Adaptability and quick learning capabilities in order to master new tasks and systems.
