Role Purpose:
Here at the Jensten Group, we are seeking a highly motivated and organisedExecutive Assistant to provide comprehensive support to the CEO, the Chief of Staff to the CEO, and the Executive Committee. This role will be pivotal in assisting with the execution of key strategic priorities for the Group, supporting internal communications, and performing various administrative duties for the CEO’s office.
The position will be based in our central London office at least three days a week, with the option to work from home for the remaining days.
Key responsibilities include:
- Strategic Support: Assist in delivering and executing the Group's key strategic priorities alongside the CEO office and Executive Committee.
- Diary Management: Organise and maintain the CEO’s calendar, including arranging meetings, appointments, travel, and accommodation.
- Document Preparation: Assist with the creation of documents, briefing papers, reports, and presentations for the CEO. Handle correspondence for Board-level and external-facing meetings.
- Executive Committee Support: Manage incoming requests and enquiries for the Executive Committee, ensuring timely and appropriate responses.
- Research & Analysis: Conduct research and present findings on business projects as assigned by the Executive Committee.
- Event Coordination: Lead the planning and organization of large meetings, business events, and the annual Group Roadshow and Away Days, including venue booking and attendee coordination.
- Office Administration: Oversee timely ordering of office supplies and groceries, as well as managing administrative duties such as handling post for the London office.
- Internal Communications: Support the CEO and CPO with internal communications, including participation in the Internal Communications Committee, drafting articles, messages, and interviews.
- Newsletter Coordination: Lead the coordination of the Monthly Manager Update and other newsletter activities defined by the Internal Communications Committee.
- Engagement & Collaboration:Collaborate with the People Team and Employee Engagement Champions to design and implement an internal communications plan that promotes engagement across the organisation.
- Positive Work Environment: Work with colleagues across the Group to foster a positive working environment through engaging initiatives.
About you:
The ideal candidate will have proven experience as an Executive Assistant or in a similar high-level administrative role, supporting senior leadership teams and ideally some exposure to supporting and drafting internal communication.
You will also be or have:
- Strong organisational and time-management skills with the ability to prioritise tasks efficiently.
- Excellent written and verbal communication skills.
- Experience with internal communications, content creation, and employee engagement is highly desirable.
- Ability to manage sensitive information with discretion and professionalism.
- Proficiency in Microsoft Office Suite and other relevant tools.
- A proactive, self-motivated, and flexible approach to work with a high attention to detail.
