My client, a prestigious international law firm, is seeking a skilled and motivated Executive Assistant to join their team in London on a 12-Month FTC with scope to go permanent.

About the Role

In this position, you will work closely with a leading partner who specialises in shipping litigation and is recognised in the Legal 500 for their exceptional work in this field.

Key Responsibilities

  • Diary and Inbox Management: Overseeing the partner's complex calendar, scheduling meetings, and managing correspondence.
  • Travel Coordination: Arranging intricate international travel itineraries, including flights, accommodations, and ground transport, often across multiple time zones.
  • Document Preparation: Formatting, editing, and proofreading legal documents, presentations, and reports to a high standard.
  • Client Liaison: Acting as a professional and confident point of contact for clients, managing queries, and maintaining up-to-date client information.
  • Meeting Support: Preparing agendas, collating meeting materials, and taking accurate notes during key meetings.
  • Billing Assistance: Supporting the billing process, including preparing draft bills, monitoring client accounts, and ensuring compliance with client requirements.
  • Administrative Excellence: Managing filing systems, coordinating expense claims, and ensuring all administrative tasks are completed efficiently.

What We’re Looking For

  • Minimum of 4 years' experience as an Executive Assistant in a corporate / legal environment
  • High proficiency with Microsoft 365 package
  • Knowledge of iManage and 3E preferred
  • Excellent communication and client relationship abilities.
  • A proactive attitude and the capacity to manage competing deadlines.
