Our client is seeking a highly organized and proactive Executive Assistant to support the CEO in managing day-to-dayoperations and long-term strategic initiatives. This role requires exceptional attention to detail, strong communicationskills, and the ability to handle confidential information with discretion.

Key Responsibilities:

Executive Support

  • Manage the CEO's calendar, including scheduling appointments and coordinating complex meetings
  • Organize domestic and international travel arrangements
  • Handle expense reports and budget tracking for business-related activities
  • Support UHNWI family office work, liaising with and managing assets under family ownership

Communication and Liaison

  • Serve as the primary point of contact between the CEO and internal/external stakeholders
  • Manage email correspondence, prioritizing and following up on important matters
  • Draft professional communications, memos, and reports as required

Meeting Management

  • Attend key meetings, take accurate notes, and prepare minutes for distribution
  • Track action items and ensure timely completion of tasks discussed during meetings
  • Coordinate logistics for meetings, including room bookings and technical requirements

Office and Event Management

  • Assist in planning and organizing company events, conferences, and off-site activities
  • Manage office supplies and equipment, ensuring smooth day-to-day operations
  • Coordinate the use of company vehicles and drivers for business purposes

Document Management

  • Maintain an organized and secure filing system for important documents and records
  • Ensure all documentation is readily accessible and up-to-date

Qualifications:? Proven experience as an Executive Assistant or in a similar high-level support role? Exceptional organizational and time management skills? Strong interpersonal and communication abilities? Proficiency in Microsoft Office Suite and Google Workspace? Ability to handle confidential information with integrity and discretion? Proactive problem-solving skills and ability to prioritize multiple tasks? Flexibility to work outside regular hours when necessary? Mandarin language skills preferred
