Secretary and Business Assistant - What You'll be Doing:

Team Secretary 60%

  • Managing the diary and schedules, arranging the schedules for meetings/conferences and business trips. Preparation for business trips, including the booking of flights, hotels and cars, if required.
  • Making arrangements for entertainments, gifts and transportation for customers.
  • Translating documents from English into Japanese and vice versa.
  • Dealing with general affairs, which may include settling expense claims and internal expenses.
  • Processing monthly reports, updating monthly management meetings and responsible for all other reporting documentation.

Business Assistant 40%

  • Building up data base of customer information as a quick and easy access for customer profile.
  • Creating spreadsheets and recording management expenses i.e. plan/actual expenses for previous fiscal year.

Secretary and Business Assistant - The Skills You'll Need to Succeed:

  • Good communication skills in Japanese and English (verbal, listening and written)
  • Preliminary secretarial experience, including looking after mid-level to senior managers.
  • Advanced MS Office including Excel (preferable advanced level), SAP experience preferable.
  • Ability to manage shifting priorities within strict timeframes and work under pressure.
  • Experience of working within a multinational trading environment may be preferable.
