An exciting opportunity has arisen to join my client as a PA & Team Secretary, providing support to the CEO & SLT

Key Responsibilities

  • To provide secretarial support including diary co-ordination, prioritisation of workload, appointments and drafting and formatting reports and correspondence as requested.
  • Organising and facilitating senior team meetings, including issuing invitations, preparation and distribution of agendas and associated paperwork.
  • Taking minutes at meetings
  • To be a point of contact for all internal and external enquiries to the Senior Leadership Team
  • To produce high standard professional documents, reports, correspondence and presentations,
  • including drafting, proof reading and checking documents
  • Coordinate and execute the annual staff conferences.
  • Arranging and booking travel and accommodation
  • To undertake all project work that the Senior Leadership Team may delegate.
  • Send out routine correspondence as requested.
  • Ensure policies and procedures are regularly updated with the correct approval in place
  • Ensure the accurate saving of all key contracts in both physical and electronic versions.
  • Oversee the organisations archiving process including providing advice about the process of archiving and act as the liaison for off-site storage facilities.
  • To open and close the office and cover reception on all days the office is open. Ensure suitable contingency arrangements are in place in the case of leave or sickness.
  • To cover the switchboard when required always ensuring high levels of customer service.
  • To oversee the maintenance and security of all office machinery
  • Making necessary purchases to ensure the office has necessary supplies to operate smoothly.
  • To undertake health and safety checks of the building on a regular basis, organise fire drills and report any maintenance issues to the property and maintenance department.
