Personal Assistant required for a niche investment bank.

The role will be supporting the head of financial markets and light support for 3 other directors.

General management

Provide day to day support for UK senior leaders, which includes:

  • The coordination of team meetings, including agenda management, minute taking booking meeting rooms, organizing equipment / catering, invoicing support
  • Prepare business presentation materials.
  • Corporate Credit Card administration; credit card utilization by the team to be processed and validated (receipts & policy) within the month following incurrence.
  • Arrange and coordinate travel and accommodation bookings and visa applications (where relevant) for leaders
  • Create and maintain relevant databases, files and spreadsheets as required
  • Produce mandatory and 'ad-hoc’ reporting as required
  • Assist team with queries, requests and action items as required
  • Complete invoice processing, expense reconciliation and approvals in line with expense policy

General Administration:

  • Maintain PeopleHQ and People Directory as required including leave tracking
  • Organise and maintain security and IT access and onboarding for team
  • Manage administrative projects as required
  • Filing and archiving as required
  • Manage team leave calendar
  • Technology purchase orders coordination
