An esteemed international banking group is seeking a Personal Assistant to provide exceptional administrative and organisational support to their Chief Information Officer (CIO). This role requires a highly professional individual who can thrive in a fast-paced, confidential environment and manage a variety of tasks to ensure seamless operations for senior executives.

Key Responsibilities:

  • Diary Management: Proactively coordinate and manage the CIO's schedule, prioritising key meetings and ensuring all necessary documents are prepared in advance.
  • Meeting Coordination: Ensure meetings run on time, with follow-up actions communicated efficiently.
  • Communication Liaison: Act as a central point of contact, handling high-level queries and managing sensitive and confidential information.
  • Travel Arrangements: Plan and book comprehensive travel itineraries, including flights, hotels, taxis, and visas, for the CIO and senior visitors.
  • Committee Support: Serve as a secretariat for committees, managing documentation, distributing papers, and recording minutes and actions.
  • Inbox Monitoring: Oversee the CIO's email inbox, ensuring timely responses and that deadlines are met.
  • Document Preparation: Collate reports, presentations, and deliverables for high-level meetings such as Board and regulatory engagements.
  • Event Coordination: Organise events and schedules for senior leaders and visitors from other global offices.
  • Expense Management: Approve travel, expense claims, and leave requests for the department, while managing invoices and expenses.
  • Communication Support: Draft team updates, announcements, and emails on behalf of the CIO as needed.
  • General Administration: Maintain office supplies and ensure efficient day-to-day operations.

Skills and Experience Required:

  • Proven experience as a Personal Assistant to senior executives, ideally within financial services or a similar corporate environment.
  • Excellent organisational and time management skills, with a proactive approach to problem-solving.
  • Strong attention to detail and ability to manage multiple priorities under tight deadlines.
  • Exceptional communication skills, both written and verbal.
  • Discretion and professionalism when handling confidential information.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience coordinating complex travel arrangements and working across multiple time zones.
