Do you have a passion for providing exceptional executive support within the Higher Education sector? Our client is seeking a proactive and collaborative Senior Executive Assistant to join their dynamic team!
In this pivotal position, you will be responsible for providing top-level executive support to senior leadership, helping to navigate their busy schedules and ensuring seamless operations. You will serve as a strategic partner, managing complex diaries and communications, while also leading a dedicated team of Executive Assistants!
Setup: Hybrid (3/4 days a week in office) �?
Hourly rate: £21+ per hour ??
Duration: 3 Months (potential to extend) ???
Duties:
- Be the first point of contact for internal and external inquiries, showcasing excellent customer service.
- Manage and prioritise activities for optimal strategic positioning.
- Coordinate communications and ensure everything is prepared for meetings.
- Line management of three Executive Assistants, providing professional direction and support.
- Provide mentorship and direction to a team of Executive Assistants, overseeing day-to-day operations, including induction, objective setting, weekly 1 to 1s, appraisals and performance management.
- Liaise with high profile external and international visitors, reflecting a professional approach at all times.
- Provide a front of house service, welcoming guests and organising high profile events and visits.
- Ensure both reception areas are manned at all times, including over lunch through a managed lunch rota.
- Conduct performance management and facilitate inclusive team meetings.
- Organise high-profile events and manage logistics for external visits.
- Manage all arrangements and itineraries for external visits (including international) requiring liaison with external bodies such as host organisations and regulatory authorities.
- Collaborate with internal teams to communicate event details effectively.
- Identify strengths and enhance existing processes to significantly impact the office.
- Maintain confidentiality and ensure compliance with policies at all times.
The ideal candidate will possess:
- Vast experience providing executive support to a senior leader in a complex organisation (e.g., Vice Chancellor, President).
- Strong organisational skills and the ability to multitask effectively.
- Ability to be responsible for a broad range of tasks, prioritising workload, identifying solutions and remaining calm during periods of higher workload and competing roles.
- Excellent communication skills and the ability to liaise with various stakeholders.
- A proactive approach with a keen eye for detail.
- Advanced keyboard and IT skills (Word, Excel, Outlook, PowerPoint), with the ability to learn new packages.
- An understanding of confidentiality and an ability to maintain it in all working relationships.
- Familiarity with budget management and monitoring, as well as the use of electronic databases and filing systems.
- Experience of event organisation and management, including booking, liaising and negotiating with venues.
- Line management experience and exposure to project management are welcomed!
- Familiarity with higher education institutions is desirable but not mandatory
