We are seeking an Executive Assistant to provide high-level secretarial and administrative support to one of our clients based in Wimbledon. This role is crucial for someone with a deep understanding of policies, and structure, and who thrives in a dynamic, fast-paced environment.

Minimum 3 month temporary support, due to start first week of December 2024 

Day-to-Day Responsibilities
  • Provide senior-level administrative and secretarial support.
  • Transcribe documents, manage correspondence, and prepare reports and presentations.
  • Maintain comprehensive filing systems, both paper and electronic, and manage data entry across various platforms.
  • Coordinate and prepare accreditation letters and handle telephone inquiries professionally.
  • Manage expenses, budgetary elements, and liaise with the Finance department for processing transactions.
  • Organize and support meetings, including agenda preparation, document circulation, and logistical arrangements.
  • Attend conferences and events, providing administrative support and managing delegate attendance and accommodations.
  • Support the Coordinator and other department staff with administrative tasks, including travel arrangements and meeting coordination.
Required Skills & Qualifications
  • Proven experience in a secretarial or administrative role within a senior office environment.
  • Strong understanding of the union’s structure, policies, and the broader trade union movement.
  • Excellent communication skills, capable of handling sensitive information with discretion and tact.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with database management.
  • Effective organisational skills, with the ability to prioritise tasks and manage time efficiently.
  • Secretarial or typing qualifications are desirable, with a minimum typing speed of 50 wpm.
  • Shorthand skills are advantageous but not essential.
