Team Assistant£40,000 - £45,0005 days in the office - 8am – 5:30pmDuration: 12 months What will you be doing?Diary management:• Pro-actively manage constantly changing schedules, prioritizing time-sensitive tasks, and pre-empting conflicting requests using initiative to find resolutions and workarounds• Arrange all meeting venues e.g., internal rooms, restaurants, dial-in numbers for conference calls, video conferences facilities, catering• Act as ‘gatekeeper’ for all requests• Pro-actively manage incoming emails, phone calls, extracting and acting upon content where applicable• Collating “data packs” for meetings as appropriate and liaising with internal/external attendees to ensure all parties are fully briefed ahead of the meetings• Gain thorough understanding of running of the division to prioritise meetings• Managing confidential data and information• Maintain in-house Client Relationship Management (CRM) tool• Answering and screening a large volume of calls• Taking and relaying detailed messages and building relationships with regular callers• Any other ad hoc tasks or projects, such as printing, filing, ordering business cards, presentation mark-ups, assisting with recruiting processes• Ad hoc personal requestsTravel & Expenses:• Schedule and manage complex travel itineraries and event organization ensuring adherence to internal policies• co-ordinate all travel including flights, hotels, visas, and ground transportation ensuring all itineraries and agendas are prepared in advance Ensure expenses are collated, packaged, and approved timely and efficiently, within guidelines of Firm policy• Manage events such as client entertainment, closing events, offsites/on-sites, social/team events, ensuring event costs are pre-approved, closed out and expenses filed promptlyTeamwork• Provide phone cover and Assistant coverage to Bankers outside of designated team providing cover during lunch breaks, holidays, and sickness absence• Ensure handover notes are kept up to date for ease of coverageSkills that will help you in the role:• Financial/Banking background essential• Proven experience providing Admin support• A confident, friendly, outgoing “people orientated” personality required, who can liaise with people on all levels to achieve work goals• Proven ability to be able to remain calm under pressure and deal with last minute changes to schedules effectively and efficiently• Ability to be flexible e.g., a willingness to work overtime• Discreet, professional manner; maintain confidentiality on all aspects of workload• Pro-active “can do” approach• Ability to use own initiative and judgement and work autonomously when Banker is travelling• Highly organized and excellent time/priority management skills; capable of multi-tasking to meet deadlines and able to follow up outstanding items as necessary• Articulate, an effective communicator• Resourceful, innovative, and proactive,• Team player and independent thinker• Outstanding collaborative skills• Demonstrates outstanding work ethic and professionalism• Attention to detail is essential• Good knowledge of Microsoft applications (Excel/PowerPoint/Word), and Outlook• Minimum 50 wpm typingIf you feel that you have the desired experience, possess a work ethic and hunger to succeed, then please apply now!Tiger is B Corp Certified.
