Team AssistantĀ£40,000 - Ā£45,0005 days in the office - 8am ā€“ 5:30pmDuration: 12 monthsĀ What will you be doing?Diary management:ā€¢ Pro-actively manage constantly changing schedules, prioritizing time-sensitive tasks, and pre-empting conflicting requests using initiative to find resolutions and workaroundsā€¢ Arrange all meeting venues e.g., internal rooms, restaurants, dial-in numbers for conference calls, video conferences facilities, cateringā€¢ Act as ā€˜gatekeeperā€™ for all requestsā€¢ Pro-actively manage incoming emails, phone calls, extracting and acting upon content where applicableā€¢ Collating ā€œdata packsā€ for meetings as appropriate and liaising with internal/external attendees to ensure all parties are fully briefed ahead of the meetingsā€¢ Gain thorough understanding of running of the division to prioritise meetingsā€¢ Managing confidential data and informationā€¢ Maintain in-house Client Relationship Management (CRM) toolā€¢ Answering and screening a large volume of callsā€¢ Taking and relaying detailed messages and building relationships with regular callersā€¢ Any other ad hoc tasks or projects, such as printing, filing, ordering business cards, presentation mark-ups, assisting with recruiting processesā€¢ Ad hoc personal requestsTravel & Expenses:ā€¢ Schedule and manage complex travel itineraries and event organization ensuring adherence to internal policiesā€¢ co-ordinate all travel including flights, hotels, visas, and ground transportation ensuring all itineraries and agendas are prepared in advance Ensure expenses are collated, packaged, and approved timely and efficiently, within guidelines of Firm policyā€¢ Manage events such as client entertainment, closing events, offsites/on-sites, social/team events, ensuring event costs are pre-approved, closed out and expenses filed promptlyTeamworkā€¢ Provide phone cover and Assistant coverage to Bankers outside of designated team providing cover during lunch breaks, holidays, and sickness absenceā€¢ Ensure handover notes are kept up to date for ease of coverageSkills that will help you in the role:ā€¢ Financial/Banking background essentialā€¢ Proven experience providing Admin supportā€¢ A confident, friendly, outgoing ā€œpeople orientatedā€ personality required, who can liaise with people on all levels to achieve work goalsā€¢ Proven ability to be able to remain calm under pressure and deal with last minute changes to schedules effectively and efficientlyā€¢ Ability to be flexible e.g., a willingness to work overtimeā€¢ Discreet, professional manner; maintain confidentiality on all aspects of workloadā€¢ Pro-active ā€œcan doā€ approachā€¢ Ability to use own initiative and judgement and work autonomously when Banker is travellingā€¢ Highly organized and excellent time/priority management skills; capable of multi-tasking to meet deadlines and able to follow up outstanding items as necessaryā€¢ Articulate, an effective communicatorā€¢ Resourceful, innovative, and proactive,ā€¢ Team player and independent thinkerā€¢ Outstanding collaborative skillsā€¢ Demonstrates outstanding work ethic and professionalismā€¢ Attention to detail is essentialā€¢ Good knowledge of Microsoft applications (Excel/PowerPoint/Word), and Outlookā€¢ Minimum 50 wpm typingIf you feel that you have the desired experience, possess a work ethic and hunger to succeed, then please apply now!Tiger is B Corp Certified.
