We are seeking an Office & Operations Coordinator to join a wonderful charity in the West London area. 

This plays a vital role in ensuring the efficient and effective running of our office and operational activities. This role is crucial in supporting various functions including recruitment, request management, logistics, office administration, facilities management, and health and safety.

  • Day-to-day of the role:
  • Manage the logistics and operational tasks including the packing, delivery, and return of recruitment event boxes
  • Open all incoming returned swab kits and manage weekly shipments to the lab.
  • Collaborate closely with the Recruitment and Requests Teams to manage day-to-day workloads.
  • Generate and submit weekly/monthly reports on workload and stock management.
  • Oversee stock management and ordering, including monthly and annual stock counts.
  • Assist with the management of the shared email inbox for the operations team.
  • Act as a point of contact for visitors, manage incoming/outgoing post for all departments, and arrange couriers.
  • Support the team in fire marshal/fire and emergency evacuation drills and ensure compliance with health & safety regulations.
  • Required Skills & Qualifications:
  • Proven experience in an administrative, office management, or operations role.
  • Ability to manage multiple tasks, prioritise workload effectively, and meet deadlines.
  • High level of accuracy and strong attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams), databases, and other office systems.
  • Experience in handling inventory, ordering supplies, and coordinating deliveries.
  • Understanding of coordinating office maintenance and liaising with contractors.
  • Proactive in identifying issues and implementing practical solutions.
  • Ability to work independently with minimal supervision and take initiative.
  • Willingness to collaborate and support colleagues across different departments.
