Our client a leading European branding and marketing consultancy, are seeking a highly skilled and motivated Finance Project Co-ordinator to join their team based in Central London. This is an exciting opportunity to contribute to a dynamic and innovative work environment.

Key Responsibilities:

  • Project Management: Establish and uphold the project framework and execution in line with the agency’s delivery methodology. Ensure project deadlines, statuses, and budgets are accurately tracked, promptly addressing concerns with team members or management.
  • Communication Facilitation: Foster effective communication among teams and individuals to align efforts and swiftly resolve issues. This includes leading daily briefings, monthly check-ins with client services, and weekly schedule reviews.
  • Budget Oversight: Assist in monitoring project budgets, identifying potential over-servicing, and conducting post-project budget analyses to capture insights and learnings.
  • Invoicing Management: Oversee the invoicing process by generating pre-payment invoices, scheduling future invoices, and ensuring timely and accurate billing for clients.
  • Purchase Order Coordination: Manage the creation of purchase orders, collaborating with the Client Services team to align on margins, and communicating with suppliers.
  • Quote Adjustments: Modify quotes as necessary to accommodate project requirements, supporting Client Services in the adjustment of project scope.
  • Data Integrity: Ensure the accuracy of work-in-progress data by verifying that completed projects are fully invoiced.
  • Forecast Issue Resolution: Address any forecasting challenges, including write-offs for unrecognized scope, and manage the issuance of credit notes as needed.
  • Supplier Management: Create new suppliers in the agency's work management platform as required.
  • Accounts Payable and Receivable Liaison: Serve as the primary contact for accounts payable inquiries related to invoice matching and for accounts receivable questions regarding invoice adjustments.
  • Platform Advocacy: Promote the agency’s work management platform, serving as the expert resource for best practices based on agency protocols.
  • Resource Management: Manage resources within the agency's work management platform, keeping track of available budgets, upcoming utilization, and flagging capacity issues with the relevant teams.
  • Continuous Improvement: Actively propose enhancements to optimize our workflows and operational efficiency.

Required Skills:

  • Agency Experience: Background in agency, design, or marketing environments.
  • Creative Production Knowledge: Familiarity with creative production processes and workflows.
  • Commitment to Excellence: Strong dedication to delivering high-quality projects.
  • Detail-Oriented: Exceptional attention to detail in all aspects of work.
  • Numerical Proficiency: Comfortable with numbers and proficient in Microsoft Excel.
  • Tech-Savvy: Experience with tools such as Slack, Dropbox, and Scoro (or similar work management platforms) is highly desirable.
  • Communication Skills: Outstanding communication and interpersonal abilities, with a proven track record of engaging effectively with stakeholders.
  • Proactive & Organized: Self-motivated and highly organized, capable of working independently under tight deadlines while maintaining focus on details.
  • Language Skills: Fluency in English is essential; proficiency in French is an advantage.
