Our client is a niche global marketing and communications consultancy. They work with founders of fast-growth, entrepreneurial businesses to help them engage international audiences, connect with strategic partners, and drive sustainable growth.

They are seeking a highly organized and responsive Finance & Administration Manager to support the daily operations of their business. The ideal candidate will be flexible, proactive, and comfortable working in a fast-paced, entrepreneurial environment, particularly with SMEs. You will be responsible for handling a variety of operational, financial, and administrative tasks across multiple businesses.

Financial Management:

  • Utilize accounting software (Sage Accounting, Xero) to manage bookkeeping, posting journals, bank reconciliations, and VAT returns.
  • Prepare monthly P&L and resourcing tables.
  • Update quarterly cash flow projections.
  • Collaborate with external accountants to prepare year-end documentation.

Operational Support:

  • Manage supplier relationships, post and pay invoices, and handle contracts (including insurance).
  • Manage client relationships by preparing contractual paperwork, generating invoices, and chasing payments.
  • Oversee freelancer agreements and ensure all necessary documentation is in place.
  • Coordinate with the payroll agency for employee contracts and processing any changes, expenses, etc.

Reporting:

  • Weekly 1:1 call with the CEO to discuss business updates, action points, and potential new business.
  • Weekly management team calls to review active clients and progress on new business opportunities.
  • Monthly financial and operational reporting, including P&L statements.
  • Assist in the preparation of quarterly and annual financial reports.

Personal Financial Management (for CEO):

  • Manage invoicing for personal consultancy services.
  • Maintain records of investments and personal tax payments.
  • Provide personal income information annually for tax computations.

Qualifications:

  • Proven experience in a similar operation, ideally within an SME or entrepreneurial environment.
  • Qualified Accountant
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficiency in accounting software (Sage Accounting and Xero preferred).
  • Excellent communication skills, both written and verbal.
  • High level of attention to detail and accuracy.
  • Ability to work independently, take initiative, and handle confidential information with discretion.
