We are currently recruiting for a Financial Planning firm in London who are looking to recruit a Financial Planning Administrator. This role does offer hybrid working 3 days a week in the office and 2 days from home.
Purpose of role;
To provide a comprehensive support service to advisory staff. The overall aim is to provide a world class service as an integral part of the company's Client Proposition.
Duties & Responsibilities
There are 5 main areas of responsibility:
1. New Business Administration and Processing2. Support delivery of the CW Sales Process and Client ReviewProcess3. Client Servicing4. Maintenance of Client Records5. Managing and Reporting on New and Existing Business Income
Assist Advisors and/or planners with the development and maintenance of business relationships with clients and third parties (including product providers).
Assist planners and/or Advisors with pre-meeting/pre-contact preparation, to include research into clients’ existing arrangements and where relevant the production of a policy summary/portfolio valuation and obtaining quotations and application forms.
Processing new business including preparing application forms to be sent to third parties, online applications (where possible), entering enquiries and proposals onto Curo, tracking those proposals, dealing with any issues that arise during the processing of applications, checking and sending documentation to clients and recording allrelevant information on Curo and Sharepoint and maintaining responsibility for both the paper and electronic records.
Arranging quotes for individual protection, liaising with external companies to place clients On Risk.
Processing fee statements from product providers and other third parties, checking the amounts are correct and investigating any discrepancies, bringing any issues to the Advisors attention.
Required Capabilities
- Open, scan and distribute incoming post and prepare outgoing post
- Prepare documents and obtain up to date valuations in advance of client meetings
- Data gathering on clients and potential clients (with assistance from the planners)
- Collate documentation relating to: client engagement; platform account opening; pension transfers; re-registration of assets etc. (all with assistance from planners)
- Handle financial plan implementation for existing clients, from start to finish to include preparation and execution of paperwork, liaison with third party providers and monitoring asset transfers through to completion (all with assistance from planners).
- Assist with the completion of compliance returns.
- Effectively implement investment instructions, either directly with the provider, the investment team or via the relevant investment platforms in line with our best execution policies and procedures.
- Handle investment queries and liaise with the investment team.
- Assist Advisors with the client enquiry process and maintenance of prospect records in the client relationship management system
- Other general office tasks including scheduling meetings and calls,
Desired Knowledge, Skill & Experience
- A sound understanding of Financial Planning.
- Knowledge of Investments, Pensions and Life Assurance essential.
- The ability to fully plan workload and display excellent organisational skills.
- To be able to think laterally and be comfortable working to deadlines.
- High attention to detail and accuracy.
- The ability to multi-task and perform consistently under pressure.
- The ability to communicate effectively with clients, third parties and all internal staff.
- Initiative to address issues as and when they arise.
Have or looking to achieve the CII’s Level 4 Diploma in Regulated Financial Planning or recognised equivalent. Related degree an advantage but not a requirement.
Excellent administrative and communication skills, practical experience of effective delegation and task completion, competent user of Microsoft office applications including Sharepoint, Outlook, Word, Excel, and Powerpoint and preferably a working knowledge of role-specific software (Curo, Voyant etc.)
Ideally at least 1/2 years’ experience in a similar role with an IFA firm. Will consider experience gained with an investment manager and/or platform and possibly other professional services firm (accountant, lawyer etc).
