Job Overview:
As a Project Coordinator / Client Services Coordinator, you will play a crucial role in maintaining client relationships and expectations, ensuring seamless communication and coordination across teams and departments, and managing various logistics and projects. Your focus will be on facilitating efficient shipping, customs clearance, installation planning, and ensuring all administrative tasks are completed promptly and accurately.
Main Duties and Responsibilities:
Client Relationship Management: Maintain and manage strong relationships with clients, ensuring their expectations are met and exceeded. Act as a point of contact for client queries via phone, email, and face-to-face interactions.
Team Collaboration: Work effectively as part of a team within the department to meet client needs and departmental goals. Collaborate with colleagues and provide support as needed.
Problem-Solving: Liaise with the head of the department to report and resolve any issues or problems that arise during the course of your work, ensuring swift and effective solutions.
Company Procedures and Processes: Follow company procedures and processes closely, ensuring consistency and quality in service delivery at all times.
Health & Safety Compliance: Adhere to health and safety regulations in both office and warehouse environments, ensuring a safe workplace for all staff.
Communication with Staff: Communicate effectively with office and warehouse teams, ensuring smooth operations and clear understanding of project requirements and timelines.
Project Coordination: Coordinate and manage a variety of projects, from shipping and customs clearances to installations, ensuring they run on time and to client satisfaction.
Shipping Coordination: Oversee and coordinate the shipping process, ensuring timely and cost-effective deliveries.
Customs Clearance and Permits: Arrange and manage the required customs clearances and permits (such as Cultural Export Licenses and CITES Permits) for all relevant shipments.
Installation Planning: Plan and arrange the logistics for installations, ensuring all necessary equipment and resources are available and the installation process runs smoothly.
Administrative Duties: Complete all necessary administrative tasks such as filing, document preparation, data entry, and reporting, ensuring records are accurate and up to date.
Professional Development: Attend professional and educational courses as required to stay updated on industry trends, regulatory changes, and company practices.
Promotion of Professionalism: Uphold high standards of professionalism in every interaction with clients and colleagues, representing the company with integrity.
Flexibility to Work Away: Be available to work away from the office when required for client visits, site visits, or project installations.
Support Across Departments: Be available to support other departments when required, ensuring smooth operation of cross-departmental projects.
Answering Enquiries: Handle office phone inquiries promptly and professionally, providing assistance or directing queries to the appropriate team members.
Ad Hoc Duties: Perform any other duties as required by the business, ensuring flexibility and readiness to adapt to changing needs.

Experience & Qualifications:
- Previous experience in a client services role in the logistics, shipping, or related industries is a essential
- UK based with right to work in the UK
- Knowledge or experience in the handling of cultural export licenses and international shipments is a plus.
- Strong organisational and time-management skills.
- A proactive and flexible approach to work, with the ability to manage competing priorities.
