JR248: Bid CoordinatorLocation: London, Paddington Salary: £35,000 - £40,000 Per AnnumOverview:First Military Recruitment are currently seeking a Bid Coordinator on behalf of one of our clients.Our client encourages applications from ex-military personnel however all candidates will be given due consideration.Duties and Responsibilities:

  • Manage PQQs in-line with the level of experience and complexity of the bid, with support where required from team members.
  • Ensure compliance with the work winning processes and procedures to manage submissions and bid-related information.
  • Support briefings and progress meetings keeping auditable records of actions agreed for each bid.
  • Initiate/produce non-technical written responses for submissions including references, case studies, CVs and project experience.
  • Support contributors with content development and responses by assessing whether the questions are being answered.
  • Manage inputs from contributors ensuring that they are aware of deadlines and chase where necessary.
  • Maintain, organise and collate documents and supporting information for each proposal ensuring the information is of high quality.
  • Provide feedback to the Head of Submissions and Bid Managers of progress with the coordination and collation of information.
  • Create the final publication and with the team, ensure the bid is delivered to the Client on time.
  • Production of the final submission in liaison with submission team members, ensuring the bid is delivered to the client on time via hard copy or electronic portal.
  • Maintain Document Management System ensuring a complete record of the submission is maintained for future review or scrutiny.
  • Support administration with document controlling duties.
  • Assist with Knowledge Management.
  • Any other duties consistent with your status and seniority, as necessary to meet the needs of the Business

Skills and Qualifications:

  • Over two years’ experience in working in a bidding or similar environment. Managing deadlines and workload.
  • Strong administration skills, be naturally organised with good attention to detail and the ability to multi-task.
  • Must demonstrate previous experience of working within the bidding or similar process.
  • Creating and handling graphic images for inclusion in submission documents which will require experience in working with appropriate software packages e.g., Microsoft packages, Adobe, etc.
  • IT literacy and confidence. Experience of MS Office software, in particular Word.
  • Excellent communication skills and the ability to build strong relationships internally and externally.
  • The ability to work within multi-disciplined teams. This requires continual communication with the departments and organisational skills to ensure the level of support provided meets the Bid requirements.
  • Must be able to demonstrate how they develop relationships at a number of levels in order to work together to achieve both the project and Company’s goals.
  • Must have the ability to listen, observe and interpret words, behaviours and actions of others and respond constructively.
  • Demonstrate how they maintain a clear focus and determination to complete the work that has been allocated, liaise with colleagues to meet deadlines and seek ways to help others to maximise their achievement.
  • Ability to work collaboratively, setting and acting upon clear and realistic goals and objectives.
  • Must demonstrate the ability to use own initiative, question assumptions and learn from and share experiences.
  • Able to respond to setbacks positively and learn from them. Evaluate own performance and has an attitude which seeks improvement.
  • A flexible attitude towards work in order to meet deadlines and deal with a variable and demanding workload.
  • Able to demonstrate good attention to detail.

Desirable:

  • Proof Reading, technical Writing or a background or previous experience in journalism, or technical writing.
  • APMP Foundation accreditation.
  • Higher qualification in English (or equivalent).
  • Able to write grammatically correct English.
  • Knowledge of the construction or related industry.
  • Previous knowledge of working with document management systems.
  • A good eye for graphical balance and layout composition in submissions.
