Hours: Monday to Thursday 8:45am to 6pm, Friday 8:45am to 5:30pm

Job Summary and Key Responsibilities:

To act as front of house, setting an excellent first impression to clients and to ensure the branch runs effectively and efficiently through its working practices. To manage the move in process for Tenants and Landlords.

Duties will include:

  • To be responsible for general office presentation and standards & cleanliness and ensuring everyone plays their part.
  • To manage all reception duties/meet and greets ensuring an excellent first impression is set to clients
  • To work with the Move In Team to process files for move in, including but not limited to sending out Tenancy Agreements, chasing references, right to rents and conducting Anti Money Laundering checks
  • To manage the quality of lettings listings on the CRM
  • To answer and direct inbound calls when necessary
  • To identify and report any hazards and maintenance required
  • To order office stationery & maintain good stock control
  • To handle post (in & out)
  • To audit and manage key systems and ensure the correct sign in/out process is followed and keys are tagged in and out of the system
  • To order and upload photographs and liaise with photographers
  • To register applicants to company standards when branch staff are unavailable
  • To ensure window cards are regularly ordered to update window displays
  • To order canvass material through the web to print portal & order boards
  • To be a point of contact for any information required from central support/head office

Skills required:

  • Strong written and verbal communication, including strong listening skills with the ability to be empathetic and/or assertive when required; to remain professional and in line with company expectations at all times.
  • Strong time management skills with a structured and organised approach to workload, able to manage complex and fluid workloads, re-prioritising where required to ensure deadlines are achieved.
  • Strong IT skills, with a willingness to learn and keep up to date, able to effectively utilise software to capture updates.
  • Good attention to detail
  • Ability to work as part of a team, effectively contributing toward departmental projects, targets and wider objectives. Recognises the need to support others even where this is likely to increase personal workload
  • Customer focused
  • Resilient and consistent when under pressure.
  • Solutions focused, able to identify and implement proactive solutions for the benefit of the client, preventing escalation and delivering an excellent client experience
  • To effectively and efficiently complete instructions set by your manager meeting strict deadlines
  • Administrative experience ideally within a property related role (1 year)
  • Telephone based customer service experience (1 year)
  • 1-2 years of work experience in residential lettings or sales would be preferable (ideally UK experience)
  • A good understanding of the residential lettings sector, the local lettings market, key legislation influencing the industry and marketing and sales strategies.
  • A good understanding of the role of a property manager within the residential lettings sector, can concisely explain processes and responsibilities regards maintenance, deposits, arrears, tenancies etc.
  • IT literate with knowledge of standard letting agency software
