We are looking for a Full time Events and Planning Sales Coordinator to join our team at 113 Chancery Lane home to the prestigious Law Society.

Based in the heart of the city, 113 Chancery Lane, is the perfect venue for any occasion, with 9 beautiful and versatile event spaces ideal not only for weddings and private dinners, but also conferences, product launches, exhibitions, and informal gatherings.

Events and Planning Sales Coordinator

Job Description

Job Title: Events and Planning Sales Coordinator

Contract type: 40 hours a week

(Some additional evenings and weekends may be required)

Based at 113 Chancery Lane

Reporting to: Venue sales manager

Overall Objectives:

- To assist the team with building client quotes

- Coordinate events

- To develop relationships with the internal client

- To plan outstanding events for our private, corporate and internal clients

Event sales specific responsibilities:

Responding to enquiries in a timely manner

Liaising with existing and prospective clients regarding their event requirements and creating bespoke quotes in line with company pricing policy

Plan and coordinate the confirmed events from the point of contract to the week prior to the event

Create contracts and events sheets

Coordinate internal and member events

Supporting key events and helping with event logistics

Fulfil office admin tasks

Conduct show rounds with provisional and confirmed clients if required

Organise event requirements through to final details

Maintain all aspects of the client files effectively and efficiently

Collaborate with the internal client regarding their internal events calendar

Manage key external suppliers to ensure the successful delivery for events

Ensure event finances and invoicing is managed effectively

Upsell where possible to ensure maximum profitability of each event

Work towards team and individual targets

Build strong relationships with internal and external stakeholders

Work well in a fast paced and challenging environment

Attend fortnightly 1-2-1s with your line manager

Attend monthly sales and marketing meetings

Create detailed function sheets for smooth handover to operations

Maintain and update the event diary and CRM system in a prompt and timely fashion

Personal Specifications:

Educated to degree level (or equivalent) in a subject related to the job role

Minimum of 2-years Experience in a similar role within Event Planning

Demonstrate the ability to work well under pressure

Excellent written and spoken communication skills with the ability to effectively engage with individuals on all levels

Excellent organisation skills, with the ability to prioritise workload to meet deadlines

Excellent numerical skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

A proactive and positive can do attitude

Strong organisational and multitasking skills with an ability to manage a multi event workload

Eligible to work in the UK

Experience using Rendezvous or a similar CRM system is desirable

A keen interest in food & drink
