The Role

As a Formalities Specialist, you will join the firm's busy Formalities Department, contributing to the smooth running of essential IP processes. You will utilise your knowledge and experience to manage key tasks and suggest process improvements. This role offers the chance to work in a variety of teams within the department, providing a broad exposure to different aspects of formalities work.

Key Responsibilities

  • Monitor and manage team and firm-wide email inboxes, ensuring deadlines and reminders are tracked and actioned
  • Liaise regularly with clients, fee earners, and colleagues to manage queries, documents, and case progression
  • Prepare and submit documents to patent and trade mark offices, ensuring accuracy and compliance
  • Document key processes and ensure they are kept up to date
  • Mentor and train new team members, helping them understand workflows and responsibilities
  • Suggest improvements to existing processes, systems, and documentation to enhance efficiency
  • Support specific teams within the department, including Docketing, Renewals, and European Grant (EPG) teams, depending on needs

About You

The ideal candidate will bring a blend of technical expertise, attention to detail, and strong communication skills. You will be experienced in formalities work and have the ability to mentor and support your team members effectively.

Requirements

  • Previous experience in a similar formalities role, ideally within an IP or legal environment
  • Formal qualifications in IP support (CIPA, CITMA, EPAC Paralegal Certificate) are preferred, but flexibility is available for those with relevant senior-level experience
  • Proven experience maintaining accurate records in a fast-paced environment
  • Excellent written and verbal communication skills, with the ability to liaise confidently with internal and external stakeholders
  • Strong organisational skills and the ability to meet tight deadlines under pressure
  • A proactive approach, willing to suggest improvements and support the wider team
