PA / Secretary

Full time, office-based, permanent role

Monday - Friday - 35 hours per week

Salary £40,000 per annum

To support a small team of regional managers providing a professional secretarial, administrative and organisational assistance in all areas of their work and observing confidentiality. This is a very varied and interesting role as each manager has a different remit. Therefore, a PA with a "can do" and flexible approach and a calm and unflappable demeanour will thrive within this role.

Key Responsibilities:

  • Diary management
  • Managing e-mails
  • Fielding telephone calls including media enquiries;
  • Assist with correspondence and drafting replies on their behalf
  • Accurate production of letters, memos, reports and any other correspondence as required, to include originating and responding to correspondence.
  • Sorting and organising mail;
  • Relevant work relating to meetings and conferences
  • Organise the engagements by coordinating and administering internal and external meetings, including inviting attendees, the booking of venues, travel and accommodation.
  • To provide support for meetings, minute taking , typing and distribution of minutes to relevant parties.
  • To report to and work collaboratively with the Executive Assistant to the General Secretary and Heads of Department, to ensure offices work efficiently, effectively
  • Act as a key representative of the providing informed professional and courteous responses to external enquiries and creating correspondence as and when requested
  • To keep up to date with current issues being tackled and managed by the organisation Demonstrate a clear understanding of the political, technological and economic factors currently being faced by members.

Person specification:

The ideal candidate will possess the following attributes:

  • 1-2 years experience (minimum) as PA / Secretary ideally at a senior level
  • Excellent organisational skills
  • Excellent verbal and written communication skills
  • High level of proficiency in MS Office - Word, Outlook, Excel and Power Point
  • Fast accurate keyboard skills and working knowledge of databases
  • Minute taking skills and experience
  • Strong attention to detail
  • Ability to multi-task under pressure and work to strict deadlines handling a varied and a high volume of work at times
  • A can do flexible and collaborative team player
  • Calm and unflappable demeanour
  • PA experience gained within a not for profit, membership organisation or union will be a distinct advantage
  • Genuine interest in current affairs, politics and its impact on society within the UK
