Role Overview:

Based in Savills Head Office in Margaret Street, the expanding division of OCM has a vacancy for an experienced PA to provide support services to three senior key directors within the Residential Investment & Development team together with the wider team members. This role will also include supporting the EA to the Head of Operational Capital markets with divisional responsibilities to include driving strategic operational initiatives. A fast paced and friendly team, the individual will have good business acumen, have a highly motivated mind-set with strong communication skills, be responsible in managing their own workload, acting with autonomy and using their own initiative.

Operational Capital Markets is a specialist division with a global remit that brings together Savills market-leading advisory services in the rapidly expanding operational residential sectors.

Key Responsibilities:

PA for Residential Investment & Development

  • Assisting 3 x HODs whilst supporting wider team members.
  • Build an understanding of the nature of the division, get to know clients and build relationships with them and their PA’s.
  • Onboarding & induction of new starters.
  • Meet and greet clients in reception.
  • Extensive diary management.
  • Monitoring emails.
  • Event organisation & management.
  • Completion of detailed corporate expense claims and tracking receipts.
  • Co-ordinating global travel arrangements and itineraries.
  • Management of CRM database – Outlook & Dynamics.
  • Assisting with the management of the teams finances and billing sheet.
  • Ensure all internal compliance procedures are adhered to.
  • Organise and prioritise workload and keep a level headed approach in a busy working environment.
  • Booking meeting rooms / arranging lunches / dinners events as required.
  • Answering calls and acting as a gatekeeper.
  • Maintaining and organising electronic files.
  • Maintaining holiday and sickness records.
  • To establish and maintain positive relationships across the wider Savills business.

Supporting EA to Head of Operational Capital Markets :

  • Provide proactive OCM support to HCW to ensure there is a joined up team approach across the division.
  • Assisting with the management of the graduate and analysts recruitment programme for division, managing assessment centres, interviews, IT set up, liaising with HR.
  • Contribute to improving internal process to drive efficiencies and improve client service.
  • Produce a weekly client meeting schedule for RID.
  • Ad hoc duties to support other senior professionals within the division.

Qualifications/Technical Abilities :

  • 4+ years previous experience of working in a busy Senior PA role is essential.
  • Intermediate Advanced Microsoft Office knowledge (Excel essential).
  • Technically savvy and experience with CRM databases.
  • Familiarity with Concur is preferred.
  • Proven administrative, time management and organisational skills.
  • Ability to learn new skills, working methods and be adaptable to change.
  • Perform duties with the highest level of confidentiality and integrity both with clients and colleagues.
