Role Description:

Bridge Recruitment are excited to announce we have been appointed the task of networking for a Premises Coordinator for one of our clients, an Educational support body working with the government and higher education sector to champion higher education in the UK. As Premises Coordinator, you will be a part of the Facilities Team, ensuring operational requirements are met and services are delivered to the highest standard. The ideal Premises Coordinator will ideally have experience in a similar environment, will have undertaken relevant training and will be an excellent communicator, able to work as part of a multi-disciplinary team. This is a three-month fixed-term contract, an exciting opportunity for you to join a hands-on Team dedicated to providing a first-class service.

Responsibilities:

  • Take lead on identifying any building repairs and defects and log jobs with facilities assistant in CAFM System

  • Complete routine maintenance and repairs, allocated jobs will be issued by the facilities assistant from the CAFM System

  • Minor works projects including re-decoration of specified areas such as offices and meeting rooms

  • Provide Handyman services and assistance on projects including internal moves

  • Ensure upkeep and health and safety of building ensuring fire exits are keep clear and plant areas are maintained, clean and free of hazards

  • Distribute post and deliveries to tenants

  • Provide support throughout the day as and when required by conference centre team

  • Respond to any requests for ad hoc spot cleaning during the day

  • Act as first point of contact for service providers and contractors ensuring they are provided building induction

  • Support the Facilities Manager in ensuring the health, safety and security of the site

  • Support the Facilities manager in the coordination of all statutory checks

  • Lead on providing reception cover for staff’s breaks

  • Manage assigned PPMs Such as weekly fire call point test and return job sheets to facilities assistant to close off on CAFM system

  • Ensure that office printers are maintained in working order, stocked with paper and toner and report any issues to facilities assistant including any consumables to be ordered

  • Manage the regular maintenance of first aid kits and AED (Automated external defibrillator)

  • Assist the Facilities manager with a rolling programme of PAT testing so all items are tested within agreed frequency

  • Monthly reporting of WCs Air fresheners and Hygiene Bins, report any defects or issues to facilities assistant prior to monthly cleaning meeting to be rectified during next service visit

  • Central Point of contact for the contract supported by facilities assistant, manage responsibility for the contract and ensure up keep of plants prior to service provider visits reporting any issues to technician during maintenance visit

  • Adhere to all policies and procedures and act in a professional manner at all times

  • Take responsibility for own health and safety in line with H&S policy and current legislation and undertake such responsibilities as they relate to any employees, volunteers or contractors for which the post is responsible

  • Ensure compliance with internal procedures and all external legal requirements

Requirements:

  • Ability to work as part of a team and under own initiative

  • To undertake any such duties or general tasks and hours of work as may reasonably be required and to work in other locations

  • The role may require periodic out of hours working. The client operates both flexitime and time back in lieu schemes

  • Experience of working in a customer facing role

  • Experience of working in a multi-disciplinary team

  • Reasonable level of IT skills (use of MS Outlook and Word essential)

  • An aptitude for learning further skills

  • Good communicator, oral and written

  • Excellent attention to detail

  • Analytical thinking and problem-solving skills

  • Lots of initiative and a proactive approach, coupled with flexibility and ability to prioritise

  • Ability to work collaboratively in multi-skilled teams

  • Understanding of, and commitment to, equality, diversity and inclusion as set out in Equal Opportunity policy

  • IWFM qualification (or evidence of working towards qualification)

  • Health and Safety training
