A global Japanese trading company is currently recruiting a Sales Administrator to work in their London office.
In this role, you will be mainly responsible for the contract execution of metal goods from the supplier to the customer, including processing orders, international shipment, invoicing, payments, and inventory control.
The ideal candidate should have strong sales administration experience, excellent communication skills, and proficiency in MS Office and SAP.

Sales Administrator Main Responsibilities:
Contract Execution
- Provide the latest shipping information and shipping documents to customers in a timely manner
- Issue Sales contract and Purchase contract and exchange the signed contract with the suppliers and customers
- Liaise with Logistics Department and arrange delivery
- Accommodate the customersā and suppliersā needs, such as delivery date adjustments and quantity changes
- Deal with the customersā enquiries for quotations
- Address quality issues, damaged cargo or delivery delay
Inventory Management
- Maintain accurate and up to date records of all metal stock products using Excel
- Check stock levels regularly, issue consignment report weekly as well as monthly usage amounts
- Cross check stock levels in line with current and pending orders
Finance Management
- Maintain accurate records of all delivery notes, invoices and purchase orders using SAP systems
- Record all money received and paid, and submit Payment Requests to the Accounting Department
- Issue invoices in the local currency to customers for goods received in line with inventory records
- Liaise with customers to chase late payments for invoices
- Renew and apply Application for Transactions and monitor to make sure that our business is conducted within approved credit limit
- Liaise with the internal Accounting Department and provide them with the necessary information
General Team Administration
- Provide ad hoc general administration support to the team such as arranging team meetings, stationery order, organising filing
- Organise travel arrangements for members of the team
- Act as the internal IT promoter for the team and use the PEGA system to raise requests
Sales Administrator Ideal Candidate:
- Fluent in spoken and written English
- Experience in sales administration in international import and export business
- Excellent skills using MS Office programmes (Word, Excel, and Power Point)
- Experience of export of international business goods
- Self-motivated and Independent as well as good team player
- Customer service skills - dealing with issues with professionalism
- The ability to multi-task a number of tasks
- Good time management to meet deadlines and to multi-task
- Contract delivery experience
- Experience of raising PO, sales order, invoicing, payments
- Experience of inventory management
- Attention to detail
- Good written and verbal communication skills
- Problem solving skills to resolve issues between customers and suppliers
<Preferable>
- Fluent in Japanese both written & spoken
- Knowledge of SAP or any other accounting software
- Knowledge of Incoterms
- Currency exchange experience
- Business level fluency in English
