Reed HR are working alongside a large Not for Profit Organisation based in Central London who are recruiting for an Interim HR Administrator to cover a short term period of 1-2 months.Â
This role is hybrid, so travel into the office is required.Â
Job Summary
The People Services Administrator will provide administrative support across the People Services processes, ensuring efficient and effective delivery of the people services operations and supporting activities. They will collaborate with colleagues across the organisation and external stakeholders as needed. The role requires strong organisational skills, attention to detail and the ability to manage multiple tasks independently while supporting the implementation of the People Plan.
AccountabilitiesÂ
Recruitment:
1. Act as the first point of contact for recruitment related enquiries via the shared mailbox, ensuring well written timely responses adhere to the agreed SLA’s and complex issues are escalated via the correct channels promptly.
2. Provide excellent administrative support for all recruitment activities, including but not limited to prepping job adverts, posting roles to the external facing website and other online platforms, scheduling interviews / assessments, preparing documents and maintaining accurate records in the HRIS and Recruitment systems.
3. Assist with the synchronized onboarding process; issuing contracts, coordinating pre-employment checks (such as visa sponsorship, DBS, medical checks, field visit checks) whilst ensuring HRIS records are updated efficiently and accurately.
4. Work collaboratively with the Talent & Development team to ensure the successful running of Inductions and Welcome Days.
5. Play a pivotal role in delivering the People Directorate collaborating working with the IT and Office Services teams to ensure the employee experience is not compromised and delivered withing agreed timeframes.
Payroll & Benefits:
1. Act as a first point of contact for payroll and benefits related enquiries received via the shared mailbox, ensuring timely responses and updates are made on the HRIS, escalating any issues to the People Support Officers and / or Manager (e.g. payroll related documents, pensions, loans, eyecare, childcare, cycle2work).
2. Support with planned and ad-hoc communication to all staff in relation to payroll and benefits update and / or changes.
3. Assist with data verification through report run for payroll checking, ensuring data is accurate and meets strict payroll deadlines.
Operations
1. Act as the first point of contact for general HR enquiries via the shared mailbox, ensuring well written timely responses adhere to the agreed SLA’s and complex issues are escalated via the correct channels promptly.
2. Support the People Services team with administration relating to the employee lifecycle, including drafting contracts of employment, administering change requests and data entry onto the HRIS.
3. Support the probation processes using technology to track deadlines, send reminders to managers, and updating electronic records.
4. Work alongside the People Services Manager and Head of People Services to ensure all written templates, and the SharePoint architecture is fit for purpose and managed in line with internal and external retention guidelines by regularly auditing them.
