Reed HR are working alongside a large Not for Profit Organisation based in East London who are recruiting for an experienced HR Operations Manager for initially 6 months on a fixed term contract. 

This role is hybrid, so travel into the office is required. 

Job Summary

The P&C Operation Manager will have responsibility for the People Operations team. The team is composed of a team of three. (People & Culture Advisor, two People & Culture Officers). The team is responsible for all the People transactional work for the organisation. This includes all aspects of recruitment (including Job evaluation), onboarding, data management and first line sickness management. It is also responsible for working with the Talent Development team to deliver apprenticeship partnership work and to support the People offering to the wider federation.

Key Responsibilities 

1. Ensure a high level of quality control and customer service within the team, ensuring operation processes are executed with accuracy and in line with audit for all employee lifecycle processes

2. Manage, motivate, and improve the performance and service delivery of the team by developing a high-quality team

3. In line with GDPR guidelines have overall responsibility for the creation and maintenance of personal files for all current & past employees.

4. Develop strong relationships with key stakeholders to effectively progress projects and improvements to the People & Culture service.

Recruitment:

1. Lead and support the P&C Advisor through the recruitment pipeline, to include advising on recruitment advertising and recruitment timetable, whilst working collaboratively with the Talent Development team

2. Training and supporting the People Officers in all areas of the role (E.g.: the Job Evaluation process)

Database & Information for Payroll:

1. On a monthly basis be responsible and oversee the accuracy and timely submission of all payroll information in line with payroll deadlines.

2. To ensure People systems provide accurate and timely information.

3. With the help of the People Business Partners be responsible for the maintenance of the Establishment database.

4. Ensure that the People Advisor and People Officers maintain (Cascade) records up to date in ‘real time’ for all employees. This must include information relating to: starters (onboarding), leavers, contractual changes, salary increments, sickness records etc.

Employee Relations Casework:

1. To have available where possible People Advisors to support the People Business Partners by accurately taking minutes at witness interviews and formal hearings, and following up by ensuring witness statements and hearing minutes are signed off by relevant people.

2. Support the People Advisor with casework queries including sickness absence review meetings and refer customers to key documents; escalating higher risk issues to the relevant People BP as appropriate.

3. To assist the People Business Partners in providing the necessary employment relations data for key performance indicators

4. Ensure that the People Advisor monitors and identifies employees who are accumulating sustained amounts of sickness and alert the line manager and relevant People BP. Support the People Advisor in setting up sickness review meetings and carrying out OH referrals.
