Client Administrator, Private Wealth Investment Company, Permanent, £27,000-£33,000
Our client is seeking an Administrator to join their Client Services team. Spoken and written Italian would be helpful but not essential. This is a busy role where dealing with confidently with clients and prioritising conflicting deadlines is key.
Duties and Responsibilities
- Assisting a team to administer a portfolio of companies and trusts
- Point of contact with high net worth clients and liaising ensuring all instructions are dealt with efficiently
- Incorporating/terminating and managing UK and international companies and rusts in line with legislation
- Preparing of statutory documentation and resolutions to reflect any company/trust changes
- Ensuring companies are in good standing and filing deadlines are met
- Liaising with agents, external suppliers, solicitors, bankers and other third parties to ensure the smooth running of client companies
- Ensuring all client financials and other records are up to date and in good order
- Opening/closing of bank accounts, preparing bank payments within set timescales and monitoring accounts for incoming credits and liaising with the bank as and when necessary
- Providing billing support and debt collection when required
- Drafting legal documents, letters and invoices relating to client transactions
- Organizing couriers and handling post including filing and further distribution
- Assisting clients with ad-hoc requests as and when they arise including new transactions
- Assisting with the on-boarding of new clients and all relevant formalities to set-up new client files
- Deal effectively and efficiently with all internal administration matters, complying with all relevant external regulations and internal Company policies and procedures;
- Liaise with clients regarding day to day administration queries, within capabilities;
- Advising/communicating with clients verbally and in writing on matters relating to their companies, including use of email, letter and telephone
- Upkeep of companies files and records on a day to day basis
- Setting up the boardroom for meetings, answering incoming calls and accepting deliveries for the office
- Carrying out ad-hoc duties, as required Oversee travel plans; including expenses and visas
Desired Skills and Experience:
- Fluency in English, knowledge of spoken and written Italian would also be an advantage
- A friendly personality, team spirit, adaptability and sound common sense
- Good presentation, be self-motivated and have initiative
- Able to prioritise workload as the work is varied and strict deadlines must be met
- A methodical and organised approach to deliver high quality service
- A keen eye for accuracy and detail
- Numerate
- Interest or previous experience in international finance would be an advantage
