Job description - Conveyancing Legal Secretary

My very well estbalished friendly multi discipline and Partner law firm are looking urgently right now for an experienced Legal Secretary just like you to join their very busy Conveyancing team.

You will be holding a " principal role" providing your Fee Earner with the full audio secretariall and admin support that they are going to need in order to perform the task of providing legal services to clients. Your expertise and judgement will help massively helping them to maximise the amount of time they are able to spend on fee earning tasks, by assisting them in the management and execution of their day-to-day workload.

This role will be client facing, so it essential that they see a smiling face every day and that you are an experienced and confident communicator with the ability to deal with clients (sensitively and with discretion) and other staff proactively and professionally.

As a highly competant Conveyancing Legal Secretary your main duties will include, but not be limited to: -

Audio typing, sending out letters, emails, faxes etc.

  • Opening new file and completing Anti-Money Laundering checks
  • Preparing and drafting documents (from audio dictation);
  • Photocopying, printing, scanning & organising couriers.
  • Opening & closing files.
  • Taking internal and external telephone queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner.
  • Monitoring post and/or emails and dealing with as appropriate.
  • Dealing with basic queries and general administration.
  • Preparing bills and assisting with the billing process by liaising with the fee earner and accounts department as required.
  • Requesting cheques, bank transfers and paying in money received, as appropriate.
  • Providing reception cover from time to time.
  • Prepare and submit SDLT, AP1 and FR1 applications to the Land Registry online portal.
  • Use conveyancing panel portals such as LMS and Lender Exchange
  • Ensure applications are submitted within the OS1 priority period and requisitions replied to before the cancellation date.

9.30-5.30
