Personal Assistant - Private Client Top City of London Law Firm

£42-£48,000 max = Excellent Benefits. (depending on experience). Hybrid Working is in place for this role.

**Please note this is not an opportunity for Legal Graduates seeking to eventually practice and you must be able to display solid expertise working as a Legal Secretary or PA within a law firm to be considered for this role.

OVERVIEW:

A fantastic opportunity has arisen for a Legal Secretary with Private Client experience to work for this entrepreneurial, highly prestigious London City law firm. The role is to support within the Private Client team working at Partner level and with additional support to their team of Associates and working alongside other PAs within the department. The role will cover a wide spectrum of work assisting clients with private and family assets and wealth matters, and focusing on Trusts, Wills, Probate matters and Tax. There will be lots of organisational and diary management, billings, document work and client liaison, and so you will need to have strong skills gained over 3-5+ years as a minimum, and ideally with Private Client expertise or relevant transferable skills from another practice area such as Family. The role requires a forward-thinking PA with acute attention to detail and who can multi-task in this busy and rewarding role.

JOB DESCRIPTION

As a Senior Legal Practice Assistant your duties will encompass:-

Responsible for all aspects of the administrative and secretarial work for the Private Client Practice Area Partners and wider team of Associates

Diary management.Understanding workload and prioritising duties to ensure best practice

Providing a professional and personable point of contact for all external parties, particularly clients

General administrative duties including AML checks, file opening, monthly billing, and file closing

Managing team members diaries and outlook calendars including arranging travel where required

Liaising with Marketing and team members in relation to the production of team briefings.

Document production, audio and copy typing of correspondence using digital dictation

Organising various internal and external meetings including room bookings, refreshments, and IT equipment for the team

Acting as the first point of contact for Fee Earners, managing telephone, voicemail and out of office email messages for the team when they are not available and responding or re-directing where necessary

Reconciling and processing expenses

Distributing documentation internally and externally, electronically, or hard copy

Ensuring all team electronic and hard copy filing is managed in a timely and efficient manner in strict accordance with the firms procedures

Organising client events and ensuring meeting rooms are fully set up.Organise business development meetings and events for Fee Earners, and assists in the production of business development materials in liaison with the Marketing team

Research to include new clients and contacts and prepare reports/bios before meetings, and conducts basic research of the Fee Earners, able to recognise client confidentiality at all times as the work can be highly sensitive

Personal Competencies:

You will need to be able to demonstrate strong interpersonal and communication skills, good commercial awareness, business acumen in this diverse, stimulating, and responsible role, taking ownership of decisions and delivering a high-quality service

Previous Legal PA experience of working in a fast-paced environment ideally Private Client although this does not necessarily need to be extensive, but a general interest to excel in this field is required alongside solid experience as a Secretary or Practice Assistant in Legal and with transferable skills gained over 5+ years

Strong interpersonal skills and a high awareness of customer service principles and techniques

Ability to work under pressure, manage conflicting workloads, prioritise well and work to deadlines

Excellent organisational skills, ability to prioritise conflicting workloads and be able to work as part of a team

Can Communicate in a positive and constructive manner and interacts in good faith and can demonstrates effective listening

Use initiative and take a proactive approach to work by regularly seeking ways to improve secretarial support and positively supports and promotes change within the team and can work effectively under pressure in busy times and act with confidence and composure

Advanced MS Office knowledge and minimum typing speeds of 60-65wpm and able to create documents to a high standard of detail and with accuracy.

Minimum 5 GCSE's Grade C or above or equivalent and ideally English and Maths
