THE ROLE: LEGAL SECRETARY

DEPT: RESIDENTIAL CONVEYANCING

About the role:

Our clients based in Crouch End are currently seeking a Legal Secretary to support a Partner specialising in Residential Conveyancing. The role will be relocating to their Enfield Office next year. The successful candidate must be flexible with the change in location.

The ideal candidate will have strong audio typing skills, be proficient in handling conveyancing documentation and will assist with post-completion formalities. You will be working closely with the Partner so attention to detail, the ability to manage traditional workflows and excellent communication skills are essential.

Key Responsibilities

  1. Audio Typing and Document Preparation
    • Accurate audio transcription of correspondence, contracts, and legal documents related to conveyancing.
    • Preparation of Land Registry forms, transfer deeds, contract packs, and other relevant documentation.
    • Drafting letters, emails, and other formal communications on behalf of the Partner.
  2. Client Liaison
    • Acting as the first point of contact for clients, answering calls, and taking detailed messages.
    • Managing client appointments and handling routine inquiries related to ongoing conveyancing matters.
  3. File and Case Management
    • Managing and organising client files, ensuring they are kept up to date both digitally and in hard copy.
    • Opening new files, conducting initial searches, and collating relevant documentation.
  4. Post-Completion Formalities
    • Assisting with post-completion procedures, including the submission of Stamp Duty Land Tax (SDLT) forms, registering title deeds with the Land Registry, and ensuring all relevant documents are correctly filed.
    • Managing and tracking residual balances and assisting with client accounts where necessary.
  5. General Office Support
    • Managing the Partner's diary, scheduling meetings, and ensuring they have all necessary materials and documentation for appointments.
    • Handling general office duties such as scanning, photocopying, and managing incoming and outgoing post.
    • Assisting in the transition of the office relocation from Crouch End to Enfield next year.

Skills and Experience Required

  • Proficient in Audio Typing: Previous experience in audio transcription is essential due to the "old school" working style of the Partner.
  • Conveyancing Experience: At least 2 years of experience in a conveyancing department, with a strong understanding of the conveyancing process, particularly in residential property.
  • Post-Completion Formalities: Familiarity with post-completion processes such as SDLT returns and Land Registry applications.
  • Strong Communication Skills: Ability to communicate effectively with clients and colleagues, both in person and via phone/email.
  • Organised and Detail-Oriented: Excellent organisational skills, with the ability to prioritise and manage a busy workload.
  • Proficiency in Legal Software: Experience with conveyancing software and case management systems is desirable, though training can be provided.
