Role Overview: as a Patent Secretary, you will play a critical role in supporting the firm's attorneys and agents by managing administrative and secretarial tasks related to Patent Prosecution. Your responsibilities will include preparing and filing patent applications, maintaining client records, coordinating communications, and ensuring compliance with relevant deadlines and regulations. 

Key Responsibilities: 

  • Prepare and file Patent applications and other related documents with the UK Intellectual Property Office (UKIPO) and other international patent offices
  • Manage and maintain accurate client and case records using the firm’s document management system
  • Coordinate and track deadlines, ensuring timely submissions and responses
  • Communicate effectively with clients, attorneys, and international associates regarding case status and requirements
  • Handle general administrative duties, including scheduling meetings, managing correspondence, and preparing reports

Qualifications and Skills: 

  • Previous experience as a Patent Secretary or in a similar role within an IP or legal environment
  • Strong understanding of Patent Prosecution processes and familiarity with UKIPO and international patent office procedures 
  • Excellent organisational skills and attention to detail 
  • Proficiency in MS Office Suite and experience with IP management software
  • Outstanding written and verbal communication skills
  • Ability to manage multiple tasks and work under pressure to meet deadlines
