My client, an esteemed law firm in the West End,  is seeking an Admin Assistant to provide exceptional reception cover and administrative support. This role is crucial in promoting their firm’s professional image and efficiently servicing client needs. The ideal candidate will be highly organised, possess excellent communication skills, and have the ability to multitask effectively.

Day-to-day of the role:
  • Maintain the meeting rooms booking system and ensure all rooms are presentable and ready for occupation.
  • Meet and greet clients in a friendly and welcoming manner, ensuring client confidentiality is maintained.
  • Order lunches for meetings as requested and set up laptops for conference meetings.
  • Answer reception calls within three rings, directing calls appropriately and taking accurate messages.
  • Manage incoming and outgoing post, including scanning and preparing post for collection.
  • Accept deliveries and distribute them as necessary.
  • Maintain stock levels of beverages, fruit, and cleaning products.
  • Ensure cleanliness of kitchens, bathrooms, and boardrooms, including managing the dishwasher on training/event days.
  • Organise visitor passes for contractors and assist in the firm’s marketing activities and intranet updates.
  • Undertake additional administrative and/or reception tasks as required.
Required Skills & Qualifications:
  • Exceptional communication and customer service skills.
  • Highly organised with the ability to multitask and reprioritise as needed.
  • Experience in a similar administrative or reception role is preferred.
  • Proficiency in managing multiple administrative tasks efficiently.
  • A proactive approach to problem-solving and a team-oriented attitude.
