MAIN FUNCTIONS & RESPONSIBILITIES

  • Promote the firm and it's professional image when dealing with clients or prospective clients. Be considerate towards clients’ needs and to service those needs in an efficient and professional manner.
  • Maintain the meeting rooms booking system and to ensure all rooms are presentable and ready for occupation.
  • Meet and greet clients in a friendly welcoming manor.
  • Order lunch for meetings when requested.
  • Ensure that client confidentiality is not breached.
  • Set up laptops when needed for conference meetings.
  • Answer any reception calls, whenever possible within three rings, in a courteous and efficient manner.
  • Ensure telephone calls are put through to the appropriate member of staff or their voicemail, messages taken when necessary.
  • Ensure accurate messages are passed to appropriate personnel without delay.
  • Scan DX to the relevant fee earner/department, provide cover for post scanning. Prepare the post at the end of each day for collectionn.
  • Accept deliveries and distribute as necessary.
  • Ensure that adequate stocks of beverages/fruit/cleaning products are maintained.
  • Maintain cleanliness of the kitchens, bathrooms & boardrooms. Empty and re-load the dishwasher putting away crockery on training/event days.
  • Organise visitor passes for contractors as and when requested.
  • Assist in the firm’s marketing activities as and when required and update the firm’s intranet as when needed.
  • Undertake other or new administrative and/or reception tasks that may from time to time, reasonably required. To include admin tasks passed over from the EA team.
  • Review and update the firm’s telephone list from time to time.
  • Be helpful and pleasant with other staff members at all times.
