Job title - Admin Assistant

Hybrid: 3 days in office

Contract Length: 6 months (initial period)

As an Administrative Assistant, you will play a vital role in supporting the day-to-day operations of the HR, Payroll, and Administrative functions. Your main responsibilities will include assisting in recruitment practises and procedures, onboarding new joiners, processing invoicing, and administering work permit arrangements for secondees from the head office.

Key Duties and Responsibilities:

  • Support HR and Payroll by maintaining accurate employee records, compiling relevant information for monthly payroll, and ensuring compliance with legislation.
  • Provide guidance to employees regarding employee benefits and assist in the administration of benefits renewals.
  • Assist expatriates on secondment to the UK with any administrative issues and compile monthly UK payroll payments for expatriates.
  • Collaborate with the HR team in handling employee disciplinary and grievance processes.
  • Compile HR data and analytics as required by the business and contribute to the completion of internal and external audit requirements.
  • Facilitate monthly pension contributions and annual pension governance meetings.
  • Prepare monthly diversity and inclusion reports.
  • Collaborate with colleagues in the Admin group to ensure the efficient running of administrative activities.
  • Update admin-related documentation periodically.
  • Undertake additional tasks based on business needs as listed in the detailed task list tracker.

Experience and Qualifications:

  • Previous experience in an administrative role, preferably within the banking or financial services industry.
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines.
  • Excellent attention to detail and accuracy.
  • Proficiency in using Microsoft Office applications, particularly Excel and Word.
  • Effective communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with tact and discretion.
