Working as the Administrator / Sales Team Administration Assistant will provide crucial administrative support to the Sales Director and team by coordinating and booking consultations with clients, prospects, and other key stakeholders ensuring that calendars are efficiently managed and that consultations are scheduled effectively to maximise business opportunities.
As the Administrator / Sales Team Administration Assistant role will be responsible for first point communication with new prospects and the ability to answer questions effectively and lead potential clients to a meeting will be required.

DUTIES
Your duties as an Administrator / Sales Team Administration Assistant include:
Consultation Scheduling:
- Book and coordinate consultations and meetings for the Sales Director with clients, potential clients, and other relevant parties
- Manage and optimise the Sales Director’s calendar, ensuring there are no scheduling conflicts and meetings are prioritised correctly
- Send invitations, confirmations, and reminders to clients and internal stakeholders regarding consultation details
- Follow up with clients to confirm attendance and reschedule where necessary
Client & Prospect Coordination:
- Act as the first point of contact for clients and prospects looking to schedule consultations
- Gather necessary information ahead of meetings, ensuring the Sales Director is well-prepared for each consultation
- Ensure smooth communication between the Sales Director and clients throughout the consultation scheduling process
Document Preparation:
- Assist the Sales Director by preparing relevant materials, and documents required for each consultation
- Ensure that all consultation details, including objectives and follow-up actions, are clearly documented
CRM and Database Management:
- Support in updating client and prospect records in the CRM system, ensuring accuracy and accessibility of consultation-related information
- Track and record details of booked consultations, follow-up actions, and relevant client information to help optimise the sales process
Administrative Support:
- Provide general administrative support to the Sales Director, including managing emails, preparing proposals and assisting with other sales-related tasks as needed
- Share ideas to improve processes
Reporting:
- Assist in tracking and reporting on the number of consultations, client feedback, and any relevant outcomes to improve future booking processes and sales efforts
- Maintain records of booked consultations and assist with post-consultation follow-ups as needed
CANDIDATE REQUIREMENTS
Essential
- Previous experience in an administrative or coordination role, particularly in a sales or customer service environment, is preferred
- High school diploma or equivalent; a degree in business administration or a related fi eld is a plus
- Proficiency in MS Office (Excel, Word, PandaDocs) and experience with CRM systems is an advantage
- Experience using scheduling tools (Google Calendar, Outlook, etc.) and communication platforms (Zoom, Microsoft Teams, etc.) is desirable
- Excellent verbal and written communication skills, with the ability to interact professionally with clients and internal teams
- Strong organisational skills, with the ability to manage multiple consultations and tasks simultaneously
- High attention to detail, ensuring consultations are scheduled correctly and all relevant information is prepared in advance

- Proactive - Able to anticipate the needs of the Sales Director and clients, taking initiative to schedule and prepare for consultations
