We are excited to offer a fantastic opportunity to join a wonderful charity based in SW London. We are seeking a Business Support Assistant who is incredibly patient and compassionate. This role involves taking ownership of various responsibilities including fundraising, supporting the finance team, and assisting the business development manager. The ideal candidate will also implement and deliver the Health & Safety policy, ensuring a safe and healthy environment for service users, visitors, and staff.

Day-to-day of the role:
  • Act as the primary point of contact for reporting issues relating to the premises/facilities; coordinating repairs, general maintenance, and servicing to ensure resolutions are efficient and timely.
  • Administer the stock control procedure, ensuring essential items are kept in stock, stored safely, and that the required controls are in place.
  • Responsible for the purchasing of goods and services, ensuring invoices are received on time and approved before payment.
  • Maintain and update DBS records and process DBS renewals within the required timeframes.
  • Support the HR Manager and Service Manager with the booking, recording, and monitoring of staff training requirements to ensure compliance and up-to-date mandatory training.
  • Assist the CEO, Trustees, and Managers in arranging meetings, sending out papers, and taking minutes. Serve as the primary point of contact for Trustees for general information or assistance.
  • Maintain the schedule of monthly templates to ensure workbooks are accurate and up to date, ready for the operational teams. This includes Staff and Service User registers, Weekend Rota, Purchase Order tracker, and Time Sheet.
  • Liaise with the Referrals Officer and Service Manager to ensure the Carer Contact database is up to date and conduct an annual audit of the contact details.
  • Maintain an accurate and up-to-date Inventory to record IT devices such as mobile phones, laptops, and other equipment to ensure all items are accounted for.
Required Skills & Qualifications:
  • Demonstrated patience and compassion, ideally with experience in a charity or non-profit environment.
  • Strong organisational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in managing multiple tasks and responsibilities.
  • Experience in handling confidential information and understanding of compliance requirements.
