Are you an organised and proactive individual with a knack for administrative support. Our client, a prominent organisation in the Civil Service sector, is seeking a Business Support Officer to assist the Head of Security Projects. This is an exciting opportunity to play a key role in ensuring the smooth operation of vital security initiatives.

Key Responsibilities:

  • Organise and manage the administration of meetings, including booking rooms and circulating necessary papers and reports in advance.
  • Provide high-quality administrative support, including comprehensive diary management for two Directors.
  • Produce written records of meetings through minute-taking and distribute them while being mindful of information security and Freedom of Information (FOI) implications.
  • Draught and submit weekly updates on behalf of the Head of Security Projects for the Commons Board.
  • Update and maintain both electronic and paper filing systems for the Security Projects team, adhering to Information Officer guidance and House Records Management procedures.
  • Generate management information as requested, ensuring timely, accurate, and confidential delivery.
  • Act as the Safety Coordinator for the Security Projects team, liaising with the Safety Team to uphold health and safety standards.

Skills and Experience Required:

  • Exceptional organisational skills, with the ability to plan, prioritise, and monitor tasks systematically, supporting multiple teams.
  • Strong administrative capabilities, with a keen understanding of differentiating between urgent and important tasks to meet demanding deadlines through careful planning.
  • Excellent oral and written communication skills, with the ability to convey information clearly and concisely, especially under pressure.
  • A commitment to maintaining strict confidentiality of sensitive information, demonstrating political sensitivity and discretion.
  • Proficient IT skills, particularly with Office 365 tools (SharePoint, Word, Excel, Outlook, OneNote), and experience in creating and maintaining databases.
