We are currently recruiting for a Financial Planning firm in London who are looking to recruit a Client Services Manager to join their team. This role will involve overseeing 2 IFA Administrators and also doing the administration work.

They are looking to recruit a well-organised, enthusiastic, and experienced Client Services Manager to join their wealth management firm, which delivers high quality financial and investment advice to individuals in the professional services industry.

The Client Service Manager will oversee the financial administrators, ensuring a cohesive, controlled and efficientclient service delivery, which supports and complements the paraplanner and adviser teams, within the agreed framework of processes and controls.

Main Duties & Responsibilities:

Manage and oversee the Client Services team (financial administrators) to ensure that all client services tasks are addressed in a timely fashion, including:

  • Leading the dealing and transfers functions, acting as "authorised dealer", to ensure all client implementation is carried out accurately and efficiently, whilst also ensuring that any required follow up action is taken or delegated to other members of the team.
  • Ensuring that CRM data are maintained accurately on XPlan, and that the system is consistently utilised for logging and tracking of administrative tasks;
  • Pro-actively contacting platform providers for information as and when required, and helping to prepare all advice implementation documents.
  • Leading the new client onboarding process, including AML administration, to gather clients’ personal and policy information in a timely manner so that client files are accurately maintained, and initial suitability advice can be provided.
  • Managing the ongoing training, development, and continued oversight of the Client Services team. This may include preparing or adapting processing documents to ensure relevance and to aid the rest of the team’s development.
  • Assisting with the accurate production of client reports and correspondence to clients, such as illustrations, key features documents, preparation of forms and the maintenance of the online client portal.
  • Dealing with telephone and postal enquiries and client communication via DocuSign and email.
  • Liaise with senior management to contribute to process development or adaption as necessary, represent the Client Services team in Financial Planning Team meetings.
  • Deliver and support agreed ad-hoc projects from time to time.
  • Pro-actively look for opportunities and make suggestions to make central processes more efficient and robust when appropriate and to drive forward anychanges within realistic timeframes.

Essential Requirements & Skills

  • Highly organised with an ability to work accurately to deadlines with accountability and ownership for own deliverables and task management.
  • Experienced manager with a professional communication manner (written and verbal) and ability to form strong working relationships with the existing team.
  • Minimum of 5 years’ experience with a demonstrable knowledge of the wealth planning industry.
  • A pro-active 'can-do’ personality and ability to bring about change in the business by confidently communicating with staff members at all levels.
  • Experience of using XPlan or similar CRM system is essential.
  • Demonstrable experience of overseeing financial administration organisation, including AML processes, new client onboarding, administration in support of review process, the implementation of advice, accurate maintenance of client records and task management.
  • Strong IT skills and confidence using Microsoft Office, particularly MS Word, Excel and Outlook.
  • A professional understanding of applicable FCA compliance regulations, anti-money laundering obligations and data-protection regulations.

Qualifications:

Strong attention to detail, good numeracy and written skills, Diploma exams advantageous but not essential.
