Key Responsibilities:As the Office Administration Assistant, you will:
- Answer telephone calls, record messages, and maintain a call log.
- Manage calendars and diaries, organising meetings and updating schedules.
- Prepare meeting rooms, arrange refreshments, and greet clients in a professional and friendly manner.
- Handle incoming and outgoing post, keeping accurate records.
- Ensure the office is kept tidy and report any issues to management.
- Maintain stocks of office refreshments and supplies.
- Complete daily digital filing and organise office filing systems.
- Liaise with IT providers for issue resolution or updates.
- Action and forward admin emails appropriately.
- Work with building management and facilities as needed.
- Organise quarterly and annual staff events.
Client Work:
- Assist in onboarding new clients, including the preparation of Anti-Money Laundering documents.
- Ensure client details are updated in work management and practice management software.
- Keep online records and contact details current and accurate.
- Proficiency in MS Office, especially Word and Excel.
- Self-motivated with the ability to apply skills to new tasks.
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- Ability to manage time effectively and work under pressure.
