About Us:

About the Role:

As an Office Assistant, you will play a crucial role in ensuring our back office and operations run smoothly. You'll be the backbone of our office, responsible for maintaining a fully functional and efficient workspace.

What You'll Do:

Front of House:

  • Welcome and cater to all external visitors
  • Ensure meeting rooms are ready for use at all times
  • Manage the main telephone line and monitor other lines
  • Oversee the Enquiries email
  • Perform daily tasks such as collecting papers, managing TV setups, and maintaining reception/kitchen areas

Office Facilities:

  • Be the go-to person for staff queries
  • Maintain printers, office supplies, and kitchen facilities
  • Oversee general office cleanliness and perform regular inspections
  • Manage office security, first aid supplies and report any issues
  • Assist with desk moves, new PC installations, and other office maintenance tasks

Office Administration:

  • Handle incoming and outgoing post
  • Assist directors and manage filing, scanning, and binding documents
  • Organise events such as the Christmas party and company/client events.
  • Manage petty cash, holiday administration, diary invites, and new starter setups
  • Assist the Operations Manager with various tasks
  • General diary management of office meeting rooms

IT:

  • Coordinate with IT support for leavers and joiners
  • Set up new PCs and assist with desk moves
  • Perform PC audits

What We're Looking For:

  • Solid previous experience in a busy, varied administrative support role.
  • IT Literate: Proficient in Word, Excel, PowerPoint, etc.
  • Excellent Communicator: Clear and effective communication with internal and external parties
  • Detail-Oriented: Keen attention to detail and excellent organisational skills
  • Team Player: Ability to work well in a team environment with a sense of humour and an outgoing personality
  • Quick Learner: Ability to quickly grasp new concepts and tasks
  • Education: Minimum A-Level qualification or equivalent.
