As we continue to expand our operations, we are seeking an organised and proactive individual to join our team as a reception based Operations Assistant. Job Description:

As the Operations Assistant, you will play a crucial role in maintaining the efficiency and effectiveness of our office operations. Reporting directly to the Operations Manager, you will be responsible for a variety of tasks that support our team and enhance our work environment.

What you'll do

    • Meeting and greeting guests, ensuring they have a positive experience.
    • Coordinating the scheduling and booking of meeting rooms, including ensuring that they are prepared and equipped as needed.
    • Ensuring the office is presentable and stocked with the required supplies
    • Handling incoming and outgoing deliveries and shipments.
    • Liaising with office-related suppliers to maintain smooth operations.
    • Maintaining office systems and Notion pages to ensure accurate and up-to-date information.
    • Assisting with the onboarding of new employees, ensuring they have the resources and information they need.
    • Maintaining an accurate register of office assets.
    • Assisting with the execution of the office move, scheduled for the end of 2024.
    • Assisting with maintaining office health and safety standards.
    • Serving as office Fire Warden and First Aider.
    • Assisting with the organisation of office and company events.
    • Supporting various operations-related projects as needed.
    • Providing administrative support to the Operations team

What the ideal candidate looks like

    • Excellent organisational and multitasking skills.
    • Strong communication and interpersonal abilities.
    • Proficiency in Microsoft Office Suite, and experience with Notion is a plus.
    • Ability to work independently and as part of a team.
    • Detail-oriented with a proactive approach to problem-solving.
    • Certification, or willingness to obtain certification, in First Aid and Fire Warden training.
