My prestigious investment client is looking to hire an established, and professional PA for their central London office.

ROLE

Operating from office, 5 days, in St James area. Basic office management.

Travel & logistical planning and execution - Booking travel and pro-actively anticipating and managing issues such as flight/traffic/rail delays.

Diary Management - Ensuring all Principals diaries are up to date and synchronised promptly e.g. Online shared calendars.

Organising schedules of Close Protection drivers, managing day to day control and oversight.

Event organising - Social and Corporate Events on budget/time.

Project Management - Building works - Assist Principals on domestic real estate projects.

Negotiation - Domestic contracts, screening, background checking and selection of new staff.

Aware of domestic protocol - managing domestic servants/security contractors.

On call 24/7, however sensible hours normally, potentially a bit of overseas travel Europe/US.

Acting as a first point of contact for Principals as delegated: dealing with correspondence and phone calls.

Managing diaries and organising meetings and appointments. Control access to the Principals as appropriate.

Booking and arranging travel, transport and accommodation.

Organising events, parties and social functions.

Reminding, prompting and progress chasing the Principals on important tasks and deadlines, with diplomacy and tact.

Compiling and preparing reports, presentations and correspondence.

Managing databases and filing systems as appropriate.

Implementing and maintaining procedures/administrative systems as appropriate.

Liaising with staff, suppliers and clients.

Collating, processing, tracking and filing expenses.

Conducting research on behalf of the Principals as required.

Organising the Principals personal commitments including travel or childcare.

Running errands to support the Principals on administration issues e.g. Visa Collection, Collection of sensitive parcels.

Preparing for Principals travel and ensuring residence/s are ready for occupancy, maintained appropriately.

30 mins travel to Central London - ideal.

College educated, good IT skills - MS Word, Outlook, Excel, Google Workplace

English first language other language Spanish preferred.

Interviewing skills

Five years + experience in similar roles dealing with HNW Executives.

Team player, able to interact professionally and politely.

Good communication skills, ability to take direction and interact pro-actively as appropriate.

Discreet and confidential on all matters by nature as appropriate.

Cyber aware, diligent in use of IT from Phishing and Social Engineering attacks.

Numerate, comfortable presenting expenses/budgets and the admin thereof.

Emotionally intelligent enough to understand quickly how best to interact with Principals’, being pro-active or supporting in background as appropriate.
