Project Administrator

We are seeking a highly organised and proactive individual to join our client, a dynamic and growing property project management company, as a Project Administrator. This is a fantastic opportunity to play a key role in the smooth operation of the business. As a Project Administrator, you will be instrumental in ensuring effective communication, maintaining organised schedules, and supporting the team with various administrative and project-related tasks.

Key responsibilities:

  • Effective e-mail management: Respond to and initiate emails on behalf of the team. File documentation received by email into relevant systems.
  • Proactive diary management: Identify and understand priorities to effectively maintain and update schedules as appropriate.
  • Coordinate and assist with meetings: Arrange meeting timings with relevant parties, prepare appropriate packs, materials, and agendas, and take minutes when required.
  • Project Management Assistance:Proactively update project tracking software, folders, and invoice trackers based on incoming emails. Undertake ad hoc research and development tasks as required.
  • Manage office supplies and general office administration: Oversee office supplies, handle invoicing, and assist with basic bookkeeping tasks.
  • Ad hoc tasks: Be a proactive source of support to the team, ensuring all activities remain on track by carrying out additional tasks as required.

Skills Required:

  • Experience: Several years of experience as an Administrator, ideally with exposure to construction or project management environments.
  • Attention to detail: Meticulous and thorough in all aspects of work.
  • Communication: Excellent communication skills with the ability to interact at all levels.
  • Organisation: Strong organisational skills with the ability to prioritise tasks and meet deadlines.
  • Adaptability: Proactive and flexible with the ability to respond to occasional "out of hours" requests.
  • Problem-solving: Anticipate and identify potential operational problems, providing practical solutions.
  • Technical proficiency: Advanced Microsoft Office skills and general techsavviness.
  • Calm under pressure: Maintain a composed and efficient approach in fast-paced, high-performing environments.
  • Accounting knowledge: Some understanding of accounting principles is a plus.
