Studio Coordinator - £35,000 - £39,000

An award-winning architecture practice is looking for an experienced Studio Coordinator to be responsible for all front-of-house operations, overseeing day-to-day studio activities, and ensuring the smooth running of the studio's events and quality assurance processes. This position is based on reception, working alongside a dedicated front of house support. This is an in office-based position, Monday to Friday 09:00 - 17:30, close to Old Street.

The successful candidate will need to demonstrate experience in a similar coordinator or senior administrative role, ideally from within the design or architectural environment. You will need to possess exceptional organisational skills, be proactive and have a keen eye for detail. Experience in managing events, meetings and high-profile clients is needed and ideally experience overseeing a large, multi-functional studio environment. Knowledge of ISO 9001 and quality management processes is desirable. Ability to use MS Office, Adobe Suite and Event management systems is preferable.

Reporting into the Practice Director and working closely with the Front of House role and Studio Lead your role is varied and responsibilities include:

• Overseeing the day-to-day running of the studio and front of house, greeting visitors and clients, ensuring a professional and welcoming experience

• Keeping all spaces organised and presentable

• Coordinating studio repairs, routine maintenance, and improvements. Liaising with the building manager and external contractors for any maintenance or studio-related needs, ensuring the studio environment is well-maintained and functioning smoothly

• Supporting internal project teams by coordinating logistics for meetings, managing resources and supplies, providing administrative support where necessary to ensure that projects run smoothly

• Coordinating and assisting with the planning of internal and external studio events, client meetings, and presentations, including room set-up, catering and attendee coordination

• Working closely with the Practice Director, Leadership Team, HR lead and external stakeholders to ensure efficient communication and coordination of schedules, meetings, and events

• Assisting with HR tasks for eg organising staff annual reviews and coordinating multiple diaries

• Monitoring and maintaining health and safety standards across the studio, ensuring compliance with relevant policies and procedures

• Managing fire marshals, first aiders and mental health first aiders

• Supporting and maintaining the studio’s ISO 9001 certification by ensuring processes align with the required quality management standard

• Assisting the recruitment team by coordinating and arranging interviews for potential candidates

• Providing support to the mentoring team by arranging and organising the biannual meetings of mentors
