- Managing calendars proactively across multiple time zones, prioritising meeting requests, including coordination of complex meetings and phone and video conference calls
- Effectively managing a high volume of phone calls, placing, receiving, screening, and routing calls as needed, and taking detailed and accurate messages
- Coordinating meetings and conference calls, maintaining banker contacts
- Coordinating travel arrangements, including flights, multi-leg international travel, visa applications, car transfers, hotel reservations, cash advances, and preparing itineraries
- Processing travel and entertainment expense reports timely and accurately, ensuring compliance with expense guidelines
- Interacting with colleagues in a professional and effective manner
- Fostering a team-oriented environment by providing support and sharing responsibility with other members of the phone group
- Assisting with other ad hoc projects and duties as requested
- Performing general tasks including, but not limited to, faxing, copying, archiving, and filing
- Willing to work 5 days in office
- Minimum 4 years of experience as an Assistant supporting senior level executives or a large team
- Exceptional attention to detail and ability to work under pressure
- Advanced MS Office Skills
