Job Title: Medical Secretary

Location: Victoria

Pay: £14-16phr

Duration: 3 months temp

Hours/Days: Monday- Friday (8hr shifts between 7am-7pm)

Responsibilities:

  • Ensure the accurate and timely preparation and distribution of clinic letters, maintaining strict adherence to SLAs for turnaround times (TaT). Work with our clinicians to ensure that all documentation is completed and shared with patients and the appropriate teams.
  • Respond to patient queries regarding their appointments, follow-up care, and any outstanding administrative matters. Liaise with our clinicians to chase any incomplete admin and ensure that patients are kept informed about their care.
  • Manage the preparation, typing, and distribution of medical reports, referral letters, and other clinical documentation as required. Ensure that all documents are completed to a high standard of accuracy.
  • Maintain and update patient records, ensuring that all information is stored securely and in compliance with data protection regulations. Work closely with our internal systems to manage patient and clinician information.
  • Work directly with our clinicians to support the completion of their administrative tasks, ensuring that all reports, notes, and letters are completed within the specified timeframes. Make sure our clinicians receive regular reminders about outstanding tasks to avoid delays.
  • Collaborate closely with our wider administrative and clinical teams to ensure smooth communication and handover of information. Assist our Patient Liaison Manager with any administrative projects or tasks as required. You will be supporting our regional structure, working closely with CAMs and SOMs to deliver an excellent service to our customers.
  • Ensure that all patient and clinician information is handled with the utmost confidentiality. Follow all legal and company guidelines relating to patient privacy, information governance, and data protection.

Skills:

  • Experience as a medical secretary or in a similar administrative role within a healthcare environment.
  • Excellent organisation and time management skills, with the ability to prioritise tasks effectively.
  • Strong attention to detail, ensuring accuracy in all documentation and data entry.
  • Exceptional communication skills, both written and verbal, enabling the smooth flow of information between patients, clinicians, and the wider team.
  • Proficient in using various computer programmes and systems, including electronic medical record systems.
  • A team player who thrives in a collaborative environment and enjoys working with diverse individuals.
  • Ability to work well under pressure and adapt to changing priorities in a fast-paced healthcare environment.
