Personal Assistant / Administrator
We are seeking a highly organised and proactive individual to join our client, a dynamic and growing property project management company, as a Personal Assistant. This is a fantastic opportunity to work closely with the company's director and play a key role in the smooth operation of the business. As a PA, you will be instrumental in ensuring effective communication, maintaining organized schedules, and supporting the team with various administrative and project-related tasks.
Key responsibilities:
- Effective e-mail management: Respond to and initiate emails on directors behalf, by way of dictation, short hand and basic understanding of the contents therein. File documentation received by email into relevant systems.Â
- Proactive diary management: Identify and understand priorities to effectively maintain and update diaries as appropriate.
- Coordinate and assist with meetings: co-ordinate timing with relevant parties, prepare appropriate packs, materials, agendas, minute taking.
- Project Management Assistance: Proactively update the project tracking software, folders and invoice trackers, based on incoming emails. Undertake ad hoc R&D as required.
- Manage office supplies and general office admin including invoicing and basic bookkeeping.
- Undertake ad-hoc tasks as required, be a proactive source of help to the team and keep activity on track, carrying out all tasks as required.
Skills Required:
- Have several years experience as a 1-to-1 Admin / PA
- Have excellent attention to detail
- Be confident and professional at all times
- Have excellent communication skills with the ability to interact at all levels
- Possess strong organisational, prioritising and deadline management skills
- Be able to remain proactive and flexible at all times
- Be willing to respond to occasional "out of hours" requests
- Anticipate and identify potential operational problems and provide solutions
- Be diplomatic, with good judgement
- Be motivated and pro-active with a 'can-do' approach
- Be calm and efficient under pressure and able to work in fast paced, high performing environment.
- Have advanced Microsoft Office skills and generally tech savvy
- Some accounting knowledge is a plus.
