We are looking for an experienced Personal Assistant who will be instrumental in helping the office run smoothly and provide first class support to the main principal, CFO and CIO. You will need to ensure that the Group complies with financial and legal requirements, and maintain high standards of corporate governance. Discretion and confidentiality are key components.

Hours: 9.00am 18.00pm.

Key Responsibilities:

  • Executive Support: Manage complex diaries, prioritise appointments, email management, submit expenses and ensure smooth scheduling for the CEO and Principal, CIO and CFO.
  • Travel Management: Booking international and domestic travel, producing complex itineraries for the team and maintain travel log.
  • Filing System:Develop and maintain an effective filing system for both hard copy documents and electronic correspondence, ensuring quick retrieval of requested files.
  • Communication:Handle incoming telephone calls efficiently and courteously.
  • Meeting Organisation:Organise and attend group company boards and committee meetings as appropriate, ensuring accurate minutes are taken and reported, and actions are delivered.
  • Correspondence:Prepare written correspondence with a high standard of English and proficient use of MS Office (Word and PowerPoint), prepare presentations and proof reading of documents.
  • Office Procedures:Act as a focal point for queries regarding day-to-day office procedures and liaise with facilities/concierge team to support the office.
  • Relationship Building:Develop effective working relationships with internal and external stakeholders.
  • Project Management: Assist on projects as and when required.

Essential:

  • Secretarial/administrative/PA background with 3 to 5 years of experience in a related role.
  • Previous experience working within a fast-paced international business environment.

Skills and Knowledge:

  • Communication Skills:Highly developed verbal and written communication abilities.
  • Organisational Skills:Excellent organisational, time management, and prioritisation skills.
  • Problem-Solving:Ability to troubleshoot and provide solutions with sound judgement.
  • Technical Proficiency:Proficient in using Microsoft Office applications such as Outlook, Word, PowerPoint, Excel, and Microsoft Teams.
  • Multi-Tasking:Ability to multi-task, work to deadlines, and meet timescales.
  • Adaptability:Ability to be flexible, adapt to change, and act with urgency.
  • Teamwork:Strong communication skills and a team player who builds strong relationships within and outside the Group.
  • Planning & Organisation:Displays well-developed planning and organisational skills.
  • Attention to Detail:Pays attention to detail and focuses on ensuring quality.
