Job Purpose:

Governance

Providing key support at Board and Committee meetings.

Providing key support to the Head of Governance in relation to compliance reporting in relation to regulatory expectations.

Supporting the delivery of good practice frameworks, supporting with the planning and delivery of projects of time and meeting business expectations. Leading on the delivery of specific agreed projects.

Risk and Assurance

Supporting the structure and population of key risk documents including the Risk Management Framework; Risk Management Strategic Risk Register; Risk Management Operational Register; and the Board Assurance Framework

Data protection

Providing key support in processing Data Subject Access Requests and any other requests under Data Protection legislation, ensuring legislator requirements are met, as directed by the Head of Governance.

Key Tasks

1. Governance

  • To provide key support at Board and Committee meetings through diary
  • To monitor and report to the Head of Governance all compliance reporting dates for the organisation.
  • Supporting the Head of Governance to ensure statutory compliance and high standards of governance within the organisation.
  • Supporting the development of the induction process for trustees and independent committee members.
  • Preparing agendas, compiling, and circulating papers to strict deadlines, taking minutes, and ensuring follow-up actions are completed.
  • Having responsibility for the day-to-day management and maintenance of governance arrangements, ensuring adherence with appropriate legislative and regulatory requirements.
  • Working cross-functionally to gather data and deliver assurance on matters related to governance and filing requirements.
  • Managing governance enquiries answering or escalating issues as appropriate.
  • Undertaking any other duties or projects commensurate with the nature of this post as required

2. Risk and Assurance

  • Supporting with the identification of strategic, operational and project risks and with the population of the risk and business assurance framework.
  • Supporting with keeping the Risk Management Framework and Board Assurance Framework updated.
  • Assist in the evaluation of management assessment of first and second lines of assurance as documented within the Board Assurance Framework and supporting Regulatory compliance assessments.
  • Monitor compliance and maintain compliance registers and organizational trackers on behalf of the department, ensuring they are up to date and accurate at all times.
  • Support in the development and preparation of reports for the Board which provide assurance over the delivery of audit, governance, and assurance activities.
  • Working with Management and the Executive to identify operational and strategic risks within the organisation.
  • Build strong relationships with internal stakeholders to raise the profile, and understanding of, risk management and assurance, supporting managers to meet the expectations of the business.

3. Data Protection

  • Being a source of contact within the organisation for staff, regulators and relevant bodies / individuals on issues related to data protection.
  • Support the continuous improvement and development, championing and promoting a data protection culture.
  • Processing data subject requests and any other requests made under the Data Protection Act 2018.

4. General

  • Be aware of the external regulatory legislator requirements, in particular with the Regulator of Social Housing in order to ensure compliance with best practice and sector requirements and emerging risk areas.
